Buying Refrigerant by the Pallet: Quarter, Half or Full?

Buying refrigerant one cylinder at a time is the most expensive way to run a service business. Buying a full pallet of something you use twice a year is the second most expensive. The right tier depends on how fast you turn one refrigerant type over — not on how big the discount looks.

The three tiers

• Quarter pallet — 10 cylinders
• Half pallet — 20 cylinders
• Full pallet — 40 cylinders

Cost per cylinder falls at each tier. So does flexibility.

Work backwards from your turnover

The question is not “what can I afford” — it is “how long will this sit on my shelf.” Refrigerant does not spoil, but capital tied up in inventory is capital not doing anything else, and floor space in a shop is rarely free.

A rough guide that holds for most contractors:

• Quarter pallet — you use this refrigerant regularly but it is not your primary. One or two trucks. Covers a season without over-committing.
• Half pallet — this is your main refrigerant. Multiple trucks, or a large installed base of one system type. The tier most established service companies settle on.
• Full pallet — you are a distributor, a large mechanical contractor, or a facilities team buying a season ahead on a known volume.

The delivery reality

Refrigerant cylinders are hazardous materials under DOT 49 CFR and ship as Class 2.2 non-flammable gas. That shapes delivery in ways worth planning for:

• Delivery is by a specialist carrier approved for dangerous goods
• A ground-floor address accessible to a freight vehicle
• Someone over 18 present to sign
• No P.O. boxes or APO/FPO addresses

A quarter pallet can usually be handled without equipment. A full pallet of 40 cylinders is a forklift or pallet-jack proposition — confirm you can receive and move it before ordering one.

Mixing tiers across refrigerant types

Most shops do not buy one thing. A realistic stock position might be a half pallet of your primary refrigerant, a quarter pallet of the second, and single cylinders of everything else.

Storage

Cylinders stay below 125°F, upright, secured against falling, in a ventilated space away from ignition sources and direct sun. A pallet in an uninsulated shed through a Texas summer is a bad plan. Keep factory seals intact until use — an opened cylinder is no longer returnable.

All pallet tiers ship free. Federal law restricts refrigerant sales to EPA Section 608 certified technicians.
